About this role

We are looking for a highly organized, proactive, and reliable Virtual Assistant to provide administrative, operational, and communication support to executives, business owners, or teams. The ideal candidate should be detail-oriented, tech-savvy, able to work independently, and capable of handling multiple tasks efficiently in a fast-paced environment.

This role may vary depending on the company’s needs and can include executive support, customer service, operations coordination, social media assistance, project management, research, scheduling, and general administrative support.

Key Responsibilities

Administrative Support

  • Manage calendars, appointments, and meeting schedules

  • Handle email management and correspondence

  • Organize files, documents, and records

  • Prepare reports, presentations, and meeting notes

  • Perform data entry and maintain accurate records

  • Coordinate travel arrangements and itineraries

Executive Assistance

  • Support executives with daily operational tasks

  • Manage reminders, follow-ups, and task tracking

  • Assist with confidential and sensitive information

  • Coordinate meetings and stakeholder communication

Communication & Customer Support

  • Respond to client inquiries professionally

  • Handle customer support through email, chat, or phone

  • Follow up with leads, clients, and vendors

  • Maintain professional communication with internal and external stakeholders

Operations & Project Coordination

  • Assist with workflow management and task coordination

  • Track project progress and deadlines

  • Support onboarding and administrative processes

  • Coordinate with different departments or external partners

Social Media & Content Support (Optional)

  • Schedule and manage social media posts

  • Respond to messages and comments

  • Assist with basic content creation and research

  • Monitor engagement and generate reports

Research & Reporting

  • Conduct online research

  • Gather and organize business information

  • Prepare summaries and reports

  • Analyze basic data when required

Requirements

Proven experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, or similar role. Strong verbal and written communication skills. Excellent organizational and multitasking abilities Ability to work independently with minimal supervision Strong attention to detail and time management Professional and presentable communication style Strong internet connection and a functional laptop Ability to maintain confidentiality and professionalism Preferred Skills: Customer service experience Executive support experience Operations coordination Social media management Basic project management knowledge Ability to work across different time zones Problem-solving and decision-making ability Tools Expected of a Virtual Assistant Communication Tools: Slack Microsoft Teams Zoom Google Meet Skype Productivity & Office Tools: Google Workspace Microsoft Office Notion Evernote Project Management Tools: Trello Asana ClickUp Monday.com Scheduling & Calendar Tools: Calendly Google Calendar Microsoft Outlook CRM & Customer Support Tools: HubSpot Zendesk Freshdesk File Sharing & Storage Tools: Google Drive Dropbox OneDrive Social Media Tools: Canva Buffer Hootsuite Meta Business Suite Automation & Workflow Tools: Zapier Make Educational Qualification Bachelor’s Degree in any relevant field is an added advantage Relevant certifications in administration, customer service, project management, or executive assistance are a plus Ideal Candidate The ideal Virtual Assistant should be proactive, resourceful, organized, responsive, and able to manage tasks efficiently while maintaining professionalism in communication and operations.
