Most new automation freelancers make the same mistake: they price their time instead of the client's results. A workflow that took you six hours to build might save a business hundreds of hours a year. Charging for six hours leaves most of that value on the table.
This guide shows you how to price AI automation work fairly, confidently and profitably.
Why beginners undercharge
- They compare themselves with other freelancers instead of with the cost of the problem.
- They feel a fast build should be cheap, even though speed comes from skill.
- They fear losing the client, so they quote low before the client has even shown interest.
Clients rarely care how long something took. They care what it does for them.
The three pricing models
| Model | How it works | Good for | Watch out for |
|---|---|---|---|
| Hourly | Paid for time worked | Unclear scope, small fixes, early Upwork jobs | Earnings cap at your hours; faster work means less pay |
| Fixed project | One price for a defined result | Most automation builds | Scope creep if the agreement is vague |
| Retainer | Monthly fee for ongoing support and improvements | Clients with several workflows | Needs clear limits on what's included |
For most automation work, a fixed project fee plus an optional monthly retainer works best.
Price from value: a simple formula
Before quoting, estimate what the automation is worth to the client:
- Time saved: how many hours a month does this task take today?
- Cost of that time: what does the business pay for those hours, or what else could that person be doing?
- Revenue effect: will faster replies or fewer mistakes win more sales?
- Annual value: add it up for a year.
Then charge a fraction of that annual value, often somewhere between a tenth and a third. The client should see an easy return.
An illustrative example: a training company misses enquiries that arrive after hours. If an instant AI follow-up helps them enrol two extra students a month at ₦200,000 each, the automation is worth ₦400,000 a month to them. A one-off fee that is a fraction of a single month's gain is an easy yes.
Package your services
Packages make buying simple. For example, a lead follow-up service could have three tiers:
- Starter: capture enquiries from one source, save to a sheet, send an instant reply.
- Standard: multiple sources, AI qualification, CRM integration, team alerts.
- Premium: everything in Standard plus follow-up sequences, a weekly report and 30 days of support.
Most clients choose the middle option, so make that the one you most want to sell.
Don't forget running costs
Automation tools and AI models have their own monthly costs. Build workflows on the client's own accounts so they pay those costs directly and own their systems. State this clearly in your proposal so there are no surprises.
Protect your price with clear scope
- Write down exactly what's included: apps, workflows, number of revisions and handover.
- Price change requests separately.
- Ask for a deposit before starting. Half upfront is common for direct clients.
- On Upwork, use milestones so each stage is funded before you start it. Our guide to winning AI automation jobs on Upwork covers this.
When to raise your prices
Raise prices when you're consistently busy, when clients accept quotes without pushback, or after you collect strong reviews and case studies. Raise them for new clients first and keep existing clients on their rate for a while.
Frequently asked questions
What should a beginner charge for automation work?
Start where you can win work and collect reviews, but price by project rather than hours as soon as you can. Increase prices after every few successful projects.
Should I charge local clients in naira and international clients in dollars?
Yes, usually. Price in the client's currency and adjust for their market. Local projects often need smaller, simpler packages.
Should I show my prices publicly?
Showing starting prices filters out clients who can't afford you. Keep final quotes custom, based on scope.
Turn projects into steady income
One-off projects are good. Monthly income is better. Read how to turn automation gigs into monthly retainers, or browse more AI automation services you can sell.
