Our client is a growing Nigerian law firm that provides legal support to founders and businesses, including legal protection, intellectual property protection, business structuring, contract support, and other business-focused legal services.
They are looking for a highly organised and proactive Legal Virtual Assistant / Operations Assistant to support the lawyers with day-to-day administrative, operational, client coordination, and workflow management.
This is not a legal advisory role. The successful candidate will be responsible for ensuring that tasks, client onboarding, follow-ups, communications, and internal operations are properly coordinated so that the legal team can focus on delivering legal services.
Host daily team accountability calls with lawyers and team members.
Coordinate morning check-ins to review daily priorities, ongoing tasks, blockers, and deadlines.
Facilitate weekly planning on Mondays and weekly reporting on Fridays.
Monitor assigned tasks and follow up with team members to ensure timely completion.
Identify outstanding tasks or blockers and escalate them where necessary.
Manage and coordinate client and internal tasks using Asana.
Keep project boards, tasks, deadlines, and relevant information up to date.
Monitor progress across different client service projects.
Ensure that tasks and client-related activities are properly documented and tracked.
Coordinate the onboarding process for new clients.
Send and track client agreements and onboarding forms.
Ensure clients complete required onboarding information.
Schedule client kickoff and discovery calls.
Set up client portals and ensure all required information is uploaded.
Assign new clients to the appropriate lawyer based on the firm's internal process.
Follow established onboarding SOPs to ensure a consistent client experience.
Monitor client portal messages and the firm's operational inboxes.
Acknowledge incoming client messages and emails where appropriate.
Escalate client requests and questions to the relevant lawyer for response.
Follow up on outstanding invoices and payments.
Track outstanding information or documents required from clients.
Maintain professional and timely communication with clients without providing legal advice.
Monitor the firm's opportunity/pipeline tracker.
Follow up with prospective clients based on the appropriate stage of the pipeline.
Record follow-up outcomes, responses, and next steps.
Ensure opportunities do not become stagnant due to missed follow-ups.
Create and document Standard Operating Procedures (SOPs) for processes where documentation does not currently exist.
Update existing SOPs as the firm's processes evolve.
Identify opportunities to improve workflows, tracking, communication, and operational efficiency.
Proactively recommend better ways of carrying out recurring tasks.
Create invoices through GoHighLevel when required.
Create and manage client forms and intake forms.
Support calendar management, including scheduling discovery and client calls.
Conduct research and prepare comparisons or findings when requested.
Coordinate with external vendors and service providers.
Assist with office supply purchases and related vendor communication.
Track monthly operational expenses and support expense reporting.
Support the onboarding of new lawyers and team members by setting up required accounts, tools, email access, Asana access, forms, and internal resources.
Coordinate administrative onboarding for new lawyers and team members.
Set up access to relevant tools, including email, Asana, Google Workspace, forms, and other company systems.
Share relevant company documents, service information, and SOPs.
Provide first-line administrative support to new team members during their onboarding period.

This role requires someone who can actively participate in the firm's day-to-day operations and work closely with the legal team. The successful candidate is expected to become familiar with the firm's workflows, systems, and SOPs and should be able to operate these tools independently without requiring extensive training on basic functionality.
