About the role

Role Overview
We are seeking a highly capable and proactive Senior Virtual Assistant to support a founder building and
scaling a franchise business. This role goes beyond traditional administrative support, requiring a high-
functioning individual who can think independently, manage dynamic priorities, and contribute to both
operational and strategic tasks.
The ideal candidate is detail-oriented, resourceful, and comfortable working across business, financial,
and administrative functions in a fast-paced environment.
Key Responsibilities
● Manage calendars, schedule meetings, and coordinate appointments efficiently
● Maintain task lists and send reminders to track priorities and deadlines
● Conduct research on business opportunities, vendors, markets, and tools
● Provide day-to-day administrative and operational support to the founder
● Assist in organizing, reviewing, and cleaning financial documents and reports
● Utilize AI tools to streamline workflows, improve documentation, and enhance productivity
● Support with data entry, analysis, and reporting using Excel or similar tools
● Prepare presentations, summaries, and internal documents as needed
● Handle communications and follow-ups with stakeholders when required
● Identify process gaps and recommend improvements for better efficiency
Requirements
● 3–5+ years experience as a Virtual Assistant, Executive Assistant, or similar role
● Strong business acumen with the ability to understand and support operational needs
● Proficiency in Microsoft Excel (data organization, basic analysis, reporting)
● Experience working with financial documents or business reports
● Familiarity with AI tools (e.g., ChatGPT, automation tools) for productivity and task execution
● Excellent research and problem-solving skills
● Strong organizational and time management abilities
● High level of discretion and professionalism
● Ability to work independently with minimal supervision
Preferred Qualifications
● Background in business, finance, or operations
● Experience supporting founders, executives, or startups
● Familiarity with franchise or multi-location business models
● Experience with tools like Microsoft teams, Google Workspace, Notion, or project management
platforms
